Partitions
- Use velcro or nails to affix signage to your partitions, but not screws. Where exhibitors have multiple sites creating a long wall, a 300mm protruding return will be used for stability
- If you require additional panels, or doors within the paneled area, you are permitted to arrange these at your own expense through Exhibition Hire Services
Lighting
Additional lighting can be arranged at your own expense. See our Supplier and Contractor Directory.
Flooring
- Hay, gravel, bark, or sawdust for indoor sites are not permitted.
- Any floor covering other than carpet or lino needs to be outlined in your Site Plan & Hazard Identification/Management form. See Exhibitor Portal and form deadlines.
- Do not drive on the carpet. Be mindful when using pallet jacks or any heavy trolley on carpeted areas as sharp turns can lift carpets, causing a trip hazard.
Plugs and sockets
A new clause has been added to the Exhibiting Terms & Conditions to protect infrastructure and ensure safe setups. It prohibits connecting lower-rated plugs (e.g. 16A) into higher-rated sockets (e.g. 32A) unless certified by a licensed electrician. Non-compliant setups may be disconnected immediately, and exhibitors may be liable for any resulting damage or disruption.

Signage
Any signage facing towards another exhibitor’s site must be at least 1m inside your site boundary. This includes hanging and fixed signage. Permission can be gained from the neighbouring site to mitigate this.
Use of flags (refer to image for examples):
- Flags must not protrude into the aisle
- Double-sided flags may be placed higher up, provided the neighbouring site has given their permission
- Flags on floor stands must be fully contained within the site space (not protruding into the aisle)

Hanging signage
The Pavilion is the only exhibition space within Fieldays that provides exhibitors with the opportunity to install hanging signage. This is to be arranged directly through SBI Productions at your expense.
Please note that before SBI Productions can accept your signage request, they will need to ascertain if:
- the ceiling structure over your site can accommodate hanging signage
- you design meets the 1m boundary restrictions
- your signage complies with the weight restrictions, being that any signage over 15kg requires an engineer’s certificate

Site boundaries
- All exhibition displays, including equipment, signage, and storage facilities, must be fully contained within your site boundary.
- Keep aisles clear of all signage, stock, and displays.
- Prior approval from the Society is required if you wish to include a structure or sign on a panel that adjoins another exhibitor’s site and is taller than 2.3m. Consideration will only be given where the visual impact to the adjoining site has been taken into account. Full details of these plans must be outlined in the compulsory Compliance - Site Plan & Hazard Identification/Management form.
- All excess stock and packaging must be removed from your site or stored within your site boundary.
- You are not permitted to use power adaptor alcoves or other vacant spaces outside your site boundary.
Storage
- Exhibitors are not permitted to store any stock, packing materials, rubbish or any other item anywhere on site that is not within their allocated site boundary (or within a purchased storage area for Pantry Exhibitors).
- Exhibitors can create storage areas on their site using panels, doors, or curtains.

Sustainability and waste
Be a key player in Fieldays’ sustainability success
Fieldays work closely with Instep™ and Closed Loop™ to ensure we adhere to best practices for ISO 20121 Sustainable Event Management. Exhibitors are key to the success of Fieldays’ sustainability initiatives. The way you manage your site at Fieldays makes a meaningful difference to our collective efforts.
Consider how your site can be eco-friendly
- Prioritise sustainable materials for both design and packing where possible
- Choose reusable items—like sturdy cardboard boxes and eco-friendly packing solutions
- Design signage for easy storage and reuse, reducing waste while enhancing your brand image
Sorting guidelines
Place your items in the correct wheelie bins at the nearest waste station. Here’s what goes where:
- General waste/landfill: This bin is for items like disposable gloves, plastic types 3, 4, 6, and 7, drink cartons, non-certified serveware and packaging, and dirty recycling.
- Recycling: Please deposit soft plastic bags, clean plastics (1, 2, and 5 only), steel and aluminium cans, newspapers, magazines, cardboard, and glass (sorted by colour and ideally placed in a separate bag to prevent breakage).
- Compostable waste: This bin is for food scraps and certified home compostable serveware.
We use clear bin liners in wheelie bins across the site to make sorting easier. This helps our sorters quickly identify which bags need opening for sorting and which are landfill-only.
Rubbish and recycling collection
During the event: If your bins fill up, tie the bags and place them in the correct bin at a waste station. Most stations have landfill and recycling bins. Food Courts have landfill, recycling and compost. Our waste management crew will circulate the event site throughout the day, emptying waste station bins. If these are full, you can leave tied bags just outside your site for our team to collect. The waste team won't enter exhibitor sites to empty bins.
Daily collection: At event close each day, you may leave your sorted waste bags outside your site for collection. Please note: The waste team will not enter the Exhibitors site footprints to empty bins.
Waste minimisation plan
While Waste Minimisation Plan is not compulsory, we highly recommend having one to help you manage your waste responsibly by reducing what you bring, reusing items where possible, and ensuring proper disposal of any leftover materials.
How to create a waste minimisation plan
- List items you need to bring to the event (e.g., packaging, promotional items). Consider using reusable or recyclable packaging where possible that you can take home with you after the event.
- Identify the items that could generate waste (landfill) and limit single-use items like flyers or plastic.
- Plan to separate waste into recycling, compost, and landfill streams. Label bins clearly at your site. Use event-provided waste stations correctly.
Ensure your team knows how to follow the waste minimisation plan.

Clear bin liners
Note: If you offer catering, coffee service, or alcohol (you would need to have applied to offer Hosting, catering and alcohol), you're eligible for free clear bin liners for your on-site bins. These can be collected from the Exhibitor Services Centre.
