Overview and Vehicle Pass types
Vehicle movement on-site is one of the largest health and safety risks within the event. As such, the below systems of vehicle management have been put in place to ensure these risks are kept as low as possible.
No Vehicle Pass is required to access to the site during pack-in and pack-out, however, each person entering the site during these periods will need to have completed the Health & Safety Induction.
Any vehicles parked on your site as part of your display, and not moving at all during the entire event period will not require a Vehicle Pass. These vehicles must be on-site by 7pm Tuesday 9 June and remain there until vehicle movement is permitted at 4:30pm Saturday 13 June.
Note: Non-compliance with Vehicle Passes will jeopardise the ability to order vehicle passes at future Fieldays events and eligibility for the pre-release booking system.
There are four different Vehicle Pass types:
- Limited Access Vehicle Pass (LAV)
For Exhibitors restocking their site outside of event hours. Limited access pre and post public event hours.
- Display Access Vehicle Pass (DAV)
For Exhibitors using a display vehicle which will also enter/exit the site each day. Limited access pre and post public event hours, and parked on exhibitor’s site as part of display.
- Service Access Vehicle Pass (SAV)
For Contractors and Suppliers requiring access outside of LAV Pass times. This Pass is issued in rare occasions where there is a significant need for additional access. The specific access times granted will vary depending on the purpose of the Pass. Access is set based on specific need – before, during or after event hours.
- Caterer Access Vehicle Pass (CAV)
For approved Caterers to access the site to service their catering clients – See Hosting, catering and alcohol for full details. Access from 5:30am to 7:30pm.
The Exhibitor Ticketing and Device Portal is a website where you apply for and track the status of event-day Vehicle Passes.
Notes:
Access to the Exhibitor Ticketing and Device Portal is automatically assigned to your 'Main Contact', who will receive a secure one‑time password via email, for easy login. You can now assign up to three users to the portal (who will then be emailed a code to log in) to help manage tickets, Vehicle Passes, Smart Band and App Upgrades.
The last day to order a Vehicle Pass is 5pm Monday 8 June. All Vehicle Passes must be collected by 5pm Tuesday 9 June.
Vehicle Passes can be collected on-site leading up to the event or couriered. In person collection of Vehicle Passes starts on the 25 May at our Headquarters building (125 Mystery Creek Road), then moves to the Exhibitor Services Centre from Saturday 6 June.
Note:
- Those wishing to have their Pass couriered must place their order before 5pm Sunday 17 May. Any Vehicle Passes ordered after this date will need to be collected in person.
- If you have Vehicle Pass fees due, passes will not be available for collection or couriered until payment has been received.
- All Vehicle Passes must be ordered by 5pm Monday 8 June (unless passes are sold out before this date) and collected by 5pm Tuesday 9 June. Vehicle Passes are not available to order on Tuesday 9 June, or on event days.
- Vehicles will be denied entry to the site on event days without valid Vehicle Pass for scanning.
- Due to the limited supply, no replacements can be provided for lost or forgotten Vehicle Passes.
Please ensure you read and understand the contents and terms of use on your Vehicle Pass before arriving at the event.
- Ensure your Vehicle Pass is on display before you arrive at the event to efficiently get though traffic control stops.
- Please review the maps detailing location and access details – these differ in the morning and afternoon. Access maps will be provided closer to the event.
- Any misuse of Vehicle Passes will result in an immediate revocation without any warnings, and may result in the withholding of future Vehicle Passes for Fieldays events.
Limited Access Vehicle Pass (LAV)
Who can apply:
Exhibitors, Contractors (by exception).
Pricing:
$170 per Pass. The first approved LAV or DAV Pass is free for Main Exhibitors (per Exhibitor, not per site). These must be pre-ordered and are not available to purchase on event days.
What it provides:
Access before and after public event hours for re-stocking, and access to a dedicated carpark.
- Does not enable the Exhibitor to keep their vehicle within the site while the event is open to the public under any circumstances.
- Pass is scanned when entering and exiting the site. (Pass will be revoked for non-compliance of access times).
When can the Pass be used?

Any LAV Pass vehicles not recorded as exiting through Gate 2 by 7:45am or found either parked or driving on-site during event hours, will have their LAV Pass immediately revoked for the remainder of the event.
Note: you do not require an LAV Pass for access to the site from 4:30pm on the Saturday as this is classified as pack-out. A valid Health and Safety Induction will need to be shown by each occupant of the vehicle.
For efficiency, LAV and CAV Pass holders have access to a dedicated carpark, located directly opposite Gate 2.
- The carpark opens from 5:30am
- After 5:45am, you will need to have your LAV/CAV Pass on display to get through the check points on Mystery Creek Road near Gate 1A (from the north), and Gate 5 (from the south) before accessing the carpark, or the site.
- No vehicles will be let into the parking area without displaying a valid LAV/CAV Pass.
How to apply:
EXHIBITORS: Vehicle Passes are obtained by application only, are of limited supply and are subject to approval.
- An application must be completed in the Exhibitor Ticketing and Device Portal by 5:00 pm Monday 8 June (unless passes are sold out before this date). Vehicle Passes are not available to order on Tuesday 9 June, or on event days.
- Exhibitors applying for an LAV need to give clear reasoning as to how the Vehicle Pass will be utilised.
- Each application is reviewed, with the outcome provided via email. An invoice will be sent to those approved (if applicable), with Passes only generated once payment is received.
- Refer to the Receiving your Vehicle Pass section for collection and delivery options.
- Due to the limited supply, no replacements can be provided for lost or forgotten Vehicle Passes.
CONTRACTORS/SUPPLIERS:
Contractors/Suppliers should follow the same process outlined in the SAV Pass section. This is assessed case-by-case and is subject to approval and availability.
Display Access Vehicle Pass (DAV)
Who can apply:
Exhibitors that meet the DAV Pass criteria
Pricing:
$170 per Pass. The first approved LAV or DAV Pass is free for Main Exhibitors (per exhibitor, not per site). These must be pre-ordered and are not available to purchase on event days.
What it provides:
Ability to drive a vehicle on and off site each day as well as utilise that vehicle as part of their display.
Display Vehicle criteria:
- Must not be exhibiting within Agribusiness Indoor (The Pavilion), Fieldays Innovation Hub, Fieldays Hauora Taiwhenua Health & Wellbeing Hub, The Pantry, Rural Living Indoor, or a Food/Coffee Vendor site.
- The vehicle must be professionally sign written with the relevant exhibitor’s trading name/logo or integral for the display of product (such as a vehicle displaying attachments). Temporary signage, such as signs inside car windows, or minor signage around the number plate or personalised number plates are not considered ‘professionally sign written’ and does meet the Display Vehicle criteria.
- The description provided at application must clearly demonstrate that the vehicle will be part of the main visual display and not parked out of sight.
- The vehicle must not be moved at all during the hours the event is open to the public.
- The photo evidence of the display vehicle provided at application must clearly show the signwriting or intended use of the vehicle on the display.
When can the Pass be used?

Note: You do not require a Vehicle Pass to access the platform from 4:30pm on the Saturday as this is classified as pack-out. A valid Health and Safety Induction will need to be shown by each occupant of the vehicle.
Any vehicles parked on your site as part of your display, and not moving at all during the entire event period do not require any LAV or DAV Pass. These vehicles must be on-site by 7:00pm Tuesday 9 June and not move at all from your site until the event closes at 4:30pm on the Saturday.
Fieldays will revoke Vehicle Passes for the remainder of the event if a vehicle using a DAV Pass is found to be driving on, off or around the site between 7:45am – 5:15pm (4:30pm Sat) on event days, differs from the image provided at the time of application, or is not part of the visual display.
How to apply:
- Vehicle Passes are obtained by application only, are of limited supply and are subject to approval.
- An application must be completed in the Exhibitor Ticketing and Device Portal by 5pm Monday 8 June (unless passes are sold out before this date). Vehicle Passes are not available to order on Tuesday 9 June, or on event days.
- Exhibitors applying for a DAV Pass must provide clear photo evidence of the display vehicle, along with the vehicle's licence plate and a description of how the vehicle will be used as part of the display.
- Each application is reviewed, with the outcome provided via email. An invoice will be sent to those approved (if applicable), with Passes only generated once payment is received.
- Refer to the Receiving your Vehicle Pass section for collection and delivery options.
- Due to the limited supply, no replacements can be provided for lost or forgotten Vehicle Passes.
Service Access Vehicle Pass (SAV)
Who can apply:
Suppliers and contractors working on behalf of exhibitors may apply.
Exhibitors themselves may apply, but approvals are granted only in rare and exceptional cases where additional access is essential and critical to event delivery.
Pricing:
$170 per Pass
What it provides:
Vehicle access to the site during the event, or overnight.
When can the Pass be used?
Each SAV Pass is individually customised, only providing access within the specific hours agreed at the time of approval. This can include access to the site during event open hours or vehicle access to the site overnight (between 7:30pm - 6:00am).
Note:
- Fieldays will revoke SAV Passes for the remainder of the event if an approved SAV vehicle is found to be attempting to use the pass outside of the agreed times.
- Suppliers and Contractors approved for SAV access in the evening will also require Contractor tickets for all vehicle occupants.
How to apply:
The same process applies to Suppliers and Contractors wishing to apply for an LAV Pass.
Apply in writing for Vehicle Pass access to ticketing@fieldays.co.nz, providing the following information:
- Dates and times event area access is required.
- Full details regarding why the access is required at those specific times.
- If access is requested during event hours, detail any locations where the vehicle may need to be parked.
- If access is requested after public event hours, detail how many people will be in the vehicle for consideration of Contractor ticket approval.
Caterer Access Vehicle Pass (CAV)
Who can apply:
Approved Caterers and Baristas working on an Exhibitor's site.
Pricing:
$170 per additional Pass
What it provides:
CAV Passes allow approved Caterers access to the site to service their clients, and access to a dedicated carpark.
CAV users must ensure they only park on space allocated by their clients within their site bounds and are not permitted to park on any roadway or other location within the event. CAV Pass holders who do not have an appropriate place to park on-site must use the dedicated LAV/CAV Pass Carpark opposite Gate 2.
When can the Pass be used?
From 5:30am to 7:30pm Wed to Sat.
For efficiency, LAV and CAV Pass holders have access to a dedicated carpark, located directly opposite Gate 2.
- The carpark opens from 5:30am
- After 5:45am, you will need to have your LAV/CAV Pass on display to get through the check points on Mystery Creek Road near Gate 1A (from the north), and Gate 5 (from the south) before accessing the carpark, or the site.
- No vehicles will be let into the parking area without displaying a valid LAV/CAV Pass.
How to apply:
Before a CAV can be approved, the Caterer must submit the Site Add-ons – Hosting, Catering, Barista & Alcohol Services form in the Exhibitor Portal by 5pm on 1 May, and have received approval.
Each approved Caterer will receive one CAV per catering service fee paid.
Approved Caterers and Baristas can apply to ticketing@fieldays.co.nz for additional CAV Passes. In the email, please ensure you provide details of why the additional CAV is necessary.
