Subletting at Fieldays
Subletting is where an exhibiting company referred to as a ‘Main Exhibitor,’ shares part of their site with another company.
The ‘Main Exhibitor’ may sublet up to 49% of their total site footprint and can integrate their site with their sublet or have clearly separated spaces. There are two Sublet classes, each with specific criteria and different fees and inclusions.
Types of Sublets
Standard Sublets
These are for exhibitors who wish to have a presence on the site of an existing Main Exhibitor and must meet the exhibiting criteria for the areas they are applying to sublet in, as outlined in the Exhibitor Guidelines.
A fee of $750 + GST applies, which entitles the Sublet to:

Registered Charity Sublets
This is for a Registered Charity that has a pre-existing affiliation with a Main Exhibitor and has been invited as a guest to drive awareness for their Charity. While you will not be able to transact cash or eftpos donations onsite, you will be able to direct people to your online fundraising page.
This will need to be approved by the Society on a case-by-case basis.
The fee for this includes an Exhibitor Listing for the Charity, but not Exhibitor tickets. Applications must be received by 17 May 2024.

Subletting Exhibitor Conditions
The Subletting Exhibitor will need to obtain permission from the Main Exhibitor prior to submitting their application, and is permitted to Sublet on one site only at the event.
Main Exhibitors may apply to hubs@fieldays.co.nz to have a second presence as a sublet in the Fieldays Careers & Education Hub, Fieldays Sustainability Hub, Fieldays Digital Futures, or Fieldays Forestry Hub as well as their main site. Approval is at the discretion of the Society.
The Subletting Exhibitor will need to complete a Sublet Application Form within the Fieldays 2024 Exhibitor Portal, and must pay their Sublet Fee invoice before the deadline. This will be issued once eligibility has been confirmed.
Main Exhibitor Conditions
A Main Exhibitor may not submit an application on the Sublet’s behalf.
Food Vendors and The Pantry Exhibitors selling alcohol are not eligible to sublet their site.
Main exhibitors are permitted to have multiple Sublets on their site, as long as these collectively occupy no more than 49% of the total site area.
In cases where the ‘Main Exhibitor’ is facilitating a hub with multiple sublets, approval can be requested to waive the 49% clause. This must be applied for and confirmed in writing to sales@fieldays.co.nz at least 10 days prior to the event.
Other fees and penalties:
Any additional financial arrangement for partial payment of main site fees between the Main Exhibitor and the Subletting Exhibitor must be dealt with externally from the Society.
Main Exhibitors are prohibited from displaying or demonstrating goods and/or services of any other company or person where a Sublet has not been approved by the Society. This includes parent, subsidiary or sister companies.
Main Exhibitors who invite another person or entity to display or demonstrate goods and/or services on their site without a Society-approved sublet will be liable to pay a penalty fee of $1,000 +GST.
