Get deliveries to and from Fieldays with ease.
There's a lot of freight going in and heading out of Mystery Creek Events Centre leading up to, during and after Fieldays. To ensure 'smooth sailing', take a few minutes to read through the info below.
Freight Delivery and Collection Information
It is well known that managing external and internal traffic during Fieldays is one of the biggest risks to a successful event as both an event owner and for you as an exhibitor, so we’ve made it a priority to address this in our planning for Fieldays 2024.
Pre and post event
Courier, freight and delivery services access to the event platform during pack-in and pack-out
Courier, freight and delivery services organised by you as a Fieldays Exhibitor are welcome to enter the event platform during pack-in and pack-out.
No Vehicle Pass is required during this time, however each person entering the site during these periods will need to have completed the Health & Safety Induction before they can come onto the event platform. This can be done in advance by texting the word ‘safety’ to 540, after which a reply with a link to the online induction will be received. Alternatively, inductions can be completed at Gate 1 on arrival.
If you wish to arrange freight to be delivered to your site before your arrival:
- This may only occur after the pack-in date for your site area
- Items must only be stored on your allocated site
- There is security provided for the overall Fieldays Site. While all reasonable security and safety precautions are taken, the Society will not be held liable for loss or damage to Exhibitors’ property while on the Fieldays site
- Private security can be arranged by the Exhibitor through our security provided (see the Private Security section)
- Freight delivered on outdoor sites will be left outdoors. Ensure packaging can withstand rain and wind
- Delivery drivers must be inducted upon their first arrival; therefore you must ensure you provide them with your site number and location information to avoid freight being returned to the depot
- The Fieldays App provides GPS routing around the event platform to assist with accurate pick up/delivery
- Fieldays staff cannot sign for any deliveries – you must arrange a member of your staff to be on-site for signed deliveries. The Society will not be held responsible for missing freight
- Ensure items are clearly labelled with company name, site number, contact name and mobile number
Freight collection for Indoor Exhibitors
- Rural Living Marquee, The Pantry and Fieldays Hauora Taiwhenua Health & Wellbeing Hub exhibitors must have their site completely dismantled by 12pm, Sunday 16 June
- Innovation Hub exhibitors must have their site completely dismantled by 5pm, Sunday 16 June
- If collection of site contents cannot be arranged by the pack-out deadline, a fully wrapped and clearly labelled crate may be left on the assigned site for freight collection. This must be picked up by 12pm Monday 17 June
- Crates and other display materials not collected by the deadline may be moved from the exhibition site at the cost of the exhibitor and stored outdoors
- Exhibitors within The Pavilion must have their site completely dismantled, and all contents collected by 5pm, Wednesday 19 June

During the event
Getting products onto your site each day.
- Exhibitors are responsible for managing their own deliveries and collections to and from their site.
- Exhibitors are encouraged to use their Limited Access Vehicle Pass (LAV) to get product/stock to their site each day. See further info on LAV Passes.
- Exhibitors in The Pantry who have booked storage can replenish this daily themselves.
Note: The deadline to book storage in The Pantry has now closed. - Exhibitors have the option to utilise their preferred courier services.
Courier, freight and delivery services on event days.
- Any courier services as arranged by the exhibitor will require an LAV Pass to pick up and drop off at exhibitor sites during LAV access times, which are between the hours of 6am to 7.30am and 5pm-7.30pm.
- LAV Passes will be distributed at no cost to all courier/freight/delivery companies that have Mystery Creek Events Centre in their area of responsibility. If your preferred courier/freight/delivery company has not been automatically allocated an LAV, they will need to apply for one by emailing, ticketing@fieldays.co.nz
Customer product collection
During the event:
In place of the Courier service, this year there will be a continuous Hill transport service for up and down both Gate 2 and Gate 1 hills.
If customers have products to take home, they can use our free van service. The vans will run continuously between the top and bottom of both Gate 1 and 2 hills and will take passengers with parcels up the hills to make the process of getting their shopping home a little easier. For those who have bigger items, there will be 1 x van per hill with a luggage trailer.
After the event:
If customers require collections post-event, you must transport the items to Gate 2 and meet your customer there in person to collect their items. Alternatively, you can arrange freight to their requested address. All items must be transported from your site by you or your designated freight transporter before your pack-out deadline.
Site access is not permitted to customers during Pack-in or Pack-out under any circumstances.
Important
To ensure the safety of all attendees at Fieldays, we strongly recommend you consider all your delivery requirements in advance of arriving on site, and where possible arrange for appropriate tickets and vehicle passes ahead of time or seek delivery of your items to your preferred couriers home depot in the region for you to collect and bring on to site with you.
Careful planning now will avoid any disappointment and frustrations at the gate, where it is possible deliveries will be turned around if without appropriate access tickets or passes or if outside designated hours.
