Important information on site set up

You must comply with the Health and Safety at Work Act 2015 while on site.


Health and safety induction

On arrival at the venue all exhibitors and contractors must complete a site induction before they enter the site to notify them of hazards, regulations and emergency procedures.

Personal Protective Safety gear

Please ensure every member of your team is supplied with the required safety equipment before they arrive on site. Hi-visibility clothing and appropriate footwear is compulsory for everyone during set up and breakdown. High-visibility vests can be purchased from the Event Office if required. Anyone without high visibility clothing will not be permitted on site.

Hazard ID and Management form

Every company working at Fieldays is required to complete a Hazard ID form prior to beginning site setup. Exhibitors can access the Hazard ID form through the Exhibitor Centre. If you are a contractor, click here to view the form.

Site Specific Safety Plans (SSSPs)

Any company undertaking construction activities will need to complete a SSSP outlining your plan to safely complete the work. Click here for the SSSPs form.

Keep safe during set up


Working at height

Edge or fall protection must be used when working above 2m off the ground.

Live underground power cables

Underground cables are located throughout the site. When you arrive for set up, please mark the ground where drilling/digging will occur, then contact the Fieldays Event Office to arrange sign off from event staff.

No children and no dogs

Children (aged 15 years and under) and dogs are not permitted access to site during set up and breakdown. Please arrange alternate care before arrival.

Vehicles on site

The speed limit for all vehicles on site during set up and breakdown is 15km/h.  All vehicles driven on site must be road worthy, appropriately licenced and driven according to the NZTA road rules i.e. helmets on quad bikes


All machinery should be operated and displayed within safe practices and with appropriately licenced operators if required.

Neighbouring sites

Please keep within your allocated site area and avoid driving on and/or storing anything on neighbouring sites.  

Trip hazards

Please ensure tent pegs are painted fluorescent for visibility and other trip hazards are clearly identified.

Waipa District Council requirements

All Fieldays exhibitors and contractors are required to comply with Waipa District Council requirements in regards to food safety, alcohol licensing and building compliance. These requirements are in the exhibitor handbook.

Feed and water your staff

Food and coffee will be available to purchase from on-site food trucks in the lead up to Fieldays. Date that this will begin is TBC.
